Special information for outgoings 2020/21
Here you find all information concerning especially the ERASMUS year 2020/21. All further more general information concerning ERASMUS+ outgoing can be found at Information for outgoings.
REIMBURSEMENT OF LANGUAGE COURSE FEES UP TO MAX. TOTAL OF 100€ PER ERASMUS PARTICIPANT
Information about the effects on ERASMUS mobilities in 20/21 will be made available once we receive it.
In spite of the Covid 19-pandemic we go ahead with the regular process for the ERASMUS year 2020/21 as it was planned.
There is no other way to do this. Unfortunately that does not mean planning reliability for you. Please keep in mind that all acceptance letters are subject to revocation. Depending on the development of the crisis, the EU, national governments and host universities wil have to make decisions which will be binding and may seriously affect your ERASMUS mobility. If we receive relevant information, e.g. through the DAAD as our national agency, we will post it on our website and may inform you by email. We urge you to please keep yourself updated on the webpages of your host university.
Once again: Please keep in mind that all acceptance letters are subject to revocation.
We are already receiving cancellations of mobilities by the partner institutions for the winter semester 2020/21, which we forward to the departmental coordinators. You yourself are being informed by the partner institution directly by email. As of July 15, 2020 we received 52 cancellations of mobilities.
POSTPONEMENT OF MOBILITY:
You can ask for a deferral of your mobility to the summer semester 2021 with your departmental coordinator. She/He will clear this with the partner institution and will officially nominate you there for the summer semester, if they agree. Also she/he will inform us at the IO by informal email and we will change the dates in your participant's account accordingly. You can then download updated participation certificates. As of July 15, 2020 we received 124 deferrals to the summer semester 2021.
BREXIT has no effect on mobilities in the academic year 20/21. Please be aware that changes to the british right of residence may occur and get information on immigration ahead of time before the start of your mobility.

All ERASMUS participants - except for ERASMUS freemovers and students going to Switzerland - receive an ERASMUS mobility grant on top of the tuition waiver at the host institution.
Please take note: The grant only covers the time period of your studies spent in person at the host institution/in the host country, and not virtual mobility from outside the host country or periods of online-classes not attended in the host country! All financial information offered here is based on physical mobility with start and end date proved by the host institution.
This mobility grant intended to help pay for the additional costs in the host country and varies depending on which group that country is in.
Amount of funding in 2020/21:
Country Group 1 - Program countries with higher living costs:
Denmark, Finnland, Ireland, Iceland, Liechtenstein, Luxembourg, Norway, Sweden, United Kingdom: 450€ per month (15.00€ per day)
Country Group 2 - Program countries with medium living costs:
Austria, Belgium, France, (Germany), Greece, Italy, Malta, Netherlands, Portugal, Spain, Cyprus: 390€ per month (ca. 13.00€ per day)
Country Group 3 - Program countries with lower living costs:
Bulgaria, Croatia, Czech Republic, Estonia, Hungary, Latvia, Lithuania, Macedonia (FYROM), Poland, Romania, Slowakia, Slowenia, Turkey: 330€ per month (11.00€ per day)
At first all students get a calculation of a lump sum of 4.8 monthly rates (for max. 144 funded participation days) per ERASMUS semester, 9.6 monthly rates (for max. 288 funded participation days) for a full academic year, even if the ERASMUS period may last longer.
CG1: 2,160€ per semester / 4,320€ for 2 semesters
CG2: 1,872€ / 3,744€
CG3: 1,584€ / 3,168€
The outpayment of the grant to the ERASMUS participants is administered by the international office of Goethe-University. Typically there will be two outpayments: 75% of the grant will be paid at the beginning of the physical mobility and the outstanding amount after the mobility. All participants starting their ERASMUS stay in the winter semester 2020/21 will receive their first outpayment once the proof of the start of the physical mobility/arrival certificate has been uploaded by the student into her/his participant's account. Students starting in the summer semester 2021 will receive their first payment in mid-January of 202 at the earliest, also once the arrival certificate has been uploaded. After this first outpayment has been made there will be no changes possible in the grant until the completion of the ERASMUS stay, except in the case of an extension or shortening of the ERASMUS period by one semester. The extension period of one additional semester may be supported by 4.8 more monthly rates, if we have sufficient funds left and if you apply for additional funding in your participant's account at least one month (30 days) before the originally planned end date. If you don't apply in due time, you still might extend your stay and receive a tuition waiver, but the extension will be valued as zero grant days which means no financial support. Minimal extensions from a couple of days to a couple of weeks have to be registered by us, but will not be funded.
Since we are obliged to record the exact duration of your ERASMUS period from actual start date to actual end date, we will do this once you have uploaded your Confirmation of Period of Study, proof of the end date of your physical mobility. If this shows the duration to be shorter than 4.8 months (144 days) per semester or 9.6 months (288 days) per academic year, we are obliged to request a backpayment from you for the difference in days. Mostly though a reduction in the outstanding second outpayment suffices to cover the difference.
The outstanding amount of the grant will be paid out to the participants after the completion of their mobility, once they completed the upload of all mandatory ERASMUS documents into their participant's account and handed in their original Grant Agreement as a paper document plus completed their EU Online Survey and the second OLS language test. You are only entitled to 100% of the grant if you provide all documents in due time.
Please note that changes to the process may occur due to the Covid 19 situation.
Language courses at Goethe University: If an ERASMUS participant successfully completed a language course offered by the Sprachenzentrum (Language Center) of GU in the semester before the ERASMUS mobility (no earlier courses), we will reimburse the course fee of 60€. For preparatory ERASMUS language courses in Spanish and French as well as for other courses of the Sprachenzentrum the participants have to upload the course certificate into their ERASMUS participant's account together with the payment slip, which is possible only after the start of your mobility. Be advised that course fees of language courses other than those offered by the Sprachenzentrum of GU will not be reimbursed.
Language courses at the host university: Some host universities offer preparatory or semester long language courses - some free of cost, some with fees. If you have completed such a course successfully, please upload the course certificate into your participant's account. If course fees applied, please include the payment slip in that pdf-file. This is possible only after the start of your mobility.
For the reimbursement of language course fees only limited funds are available in ERASMUS. We reimburse the actual course fee for maximum 2 language courses up to a maximum amount of 100€ in total per ERASMUS participant in 2019/20. Participants in language courses prior and during the winter semester 2019/20 have to upload their course certificates until March 1, 2020 and receive the money in the second half of March 2020. Participants in language courses prior and during the summer semester 2020 upload their course certificates until July 15, 2020 and receive the money in August 2020. If you miss the winter deadline, you will be included in the summer outpayment. If you miss the July deadline, you will not be reimbursed for the language course fees.
If you want to extend your period of stay, you have to apply for that extension in your participant's account in the part "During the mobility". This is possible only once you have uploaded your arrival certificate. Further information can be found here.
This you do in your participant's account and applies to minimal extensions from a couple of days to a couple of weeks to extensions by a module or full semester. Minimal extensions from a couple of days to a couple of weeks have to be registered by us, are important to receive full funding, but cannot not be funded if your ERASMUS period exceeds 150 days per semester/300 days per academic year.
- The calculation of the lump sum for one semester in 2020/21 is based on an ERASMUS study period of 150 days per semester (5 months with 30 days = 150 days total)
- The planned ERASMUS study period im Mobility Online for example student is only 110 days from the planned start date 01. Sep. 2019 till the planned end date 20. Dec. 2020.
- Example student will study for longer than these 110 days, either because he has an earlier arrival date or stays longer at the host institution, or both, and therefore will study 130 days.
- We as the home institution are only allowed to fund these 130 days in full, if example student applied for the extension of 20 days in due time, that is at least 30 days before the planned end date.
- Without this due application for extension we are only allowed to fund the originally planned 110 days and not the additional 20 days, even if the total time of the mobility is 130 days and with that less than the 150 days we could fund.
- compare the planned start date in article 2, point 2.2 with the start date in the arrival certificate you received from your host university and
- compare the planned end date in article 2, point 2.2 with the information provided by your host university in their academic calendar for 2020/21. If you notice that your ERASMUS study period will last longer than originally planned, please apply for the extension.
A minimal extension does not require permission by the departmental coordinator or the host institution. Please pay attention when marking the correct field in your participant's account.
For extensions for a module or semester, trimester or placement/internship at the host institution please mark this accordingly in the participant's account first. Then talk to the responsible person at the host university and your departmental coordinator at GU, because these two have to give written permission by email to firstname.lastname@example.org that the extension is granted within the ERASMUS program. Only after receiving these emails your application for extension can be processed in the participant's account. You will then be provided with a Changes to Original Learning Agreement form for the extension period in your participant's account.
Additionally in all cases of extension an updated Grant Agreement will be provided. Please complete and upload these into your account in due time.
Please notice: An extension period has to immediately follow the current mobility period. Extensions past the summer semester cannot be permitted, because the fiscal administration of ERASMUS at Goethe University is done by academic years. For officially confirmed additional examination periods or studies an extension can be granted until the end of the official ERASMUS period, September 30. Maximum duration is 12 months per regular study cycle though; for students in the traditional study programs Diplom, Magister and Staatsexamen (state examination) up to 24 months.
An extension by a second semester after the summer semester into the winter semester of the following academic year is possible only by submission of a new application for the new ERASMUS study period with your departmental coordinator, who has to decide if another placement in the program is possible. Please contact him/her as early as possible.
If enough funds are available for all extensions for a module/semester that reach the IO in due time, cannot be determined at this point. This is a case-by-case decision in the order we receive the applications for extension, that depends on the number of cancellations, terminations and shortenings of ERASMUS mobilities. If the funds available are not sufficient, you may still extend your ERASMUS study period under the tuition waiver, but the extension will be valued as zero grant days which means no financial support. In prior years though all extensions could be funded up to the possible maximum (150 days/semester or 300 days/academic year in 2020/21).
